Information we handle
We process account details such as names, email addresses, passwords or authentication credentials, assigned roles, and support communications. Organizations and their users enter business records such as company and staff details, customer and supplier contacts, products, transactions, accounting entries, and files or documents they upload.
When you use the service, we may also process technical information needed to operate and protect it, including IP addresses, device and browser information, session information, access times, error reports, and activity or audit records. The web service uses cookies for sign-in, security, and user preferences.
The mobile app asks for camera access when you choose a barcode-scanning feature. Scanned barcode values may be used to find or enter products. The app stores a sign-in token and the last signed-in email on your device to support your session and sign-in experience.
How we use information
We use this information to authenticate users, provide and synchronize the features they request, preserve business records and audit trails, provide support, maintain security, diagnose problems, and meet legal obligations. An organization's administrators control which of its users can access its workspace and business records.
Who receives information
Business records are available to users authorized by the organization that owns the workspace. We may use service providers for hosting, storage, email delivery, monitoring, and other infrastructure needed to run ERPMAX. Information may also be disclosed when required by law, to protect the service or its users, or at the organization's direction. We do not sell personal information or use business records for third-party advertising.
Security and storage
We use measures such as authenticated access, role-based permissions, secure connections, and access controls to protect information. No system can guarantee absolute security. Information may be stored or processed by infrastructure providers in locations outside your country, subject to applicable requirements and our service arrangements.
Retention and deletion
We retain account and business information while it is needed to provide the service, comply with our agreements, resolve disputes, maintain security and audit records, or meet legal and accounting requirements. We delete or de-identify information when it is no longer needed, subject to lawful retention duties and the organization's instructions.
Users can ask their organization's administrator to update their account or request its removal. For privacy and account-deletion requests concerning ERPMAX, contact us using the address below. We may need to verify the request and coordinate with the organization that controls the workspace. If particular records must be retained for legal or accounting reasons, we will explain that when handling the request.
Your choices
You can choose whether to use the mobile app's camera-based scanning feature. You can sign out and remove the app from your device. For access, correction, or deletion requests about business records, contact the organization that manages your ERPMAX workspace or contact us for help directing the request.
Changes to this policy
We may update this policy as the service or our practices change. The effective date above shows when this version took effect. Material changes will be communicated through the service or another appropriate channel.
